Privacy Policy

How Sigma Archive Data SRL collects, uses and protects the personal data of visitors and clients.

1. Data controller

2. Personal data collected

We collect strictly the following categories:

  • Contact data (contact form): name, email, phone (optional), message. Legal basis: legitimate interest (Art. 6(1)(f) GDPR) — responding to B2B requests.
  • Technical data (analytics): we do not use behavioural tracking cookies. Plausible Community Edition self-hosted records only anonymised IP + accessed URL. Legal basis: legitimate interest (aggregate site traffic analysis).

We do NOT collect sensitive data (Art. 9 GDPR — health data, political opinions, etc.).

3. Purpose of processing

  • Responding to B2B requests through the contact form (lead qualification).
  • Aggregate traffic analysis to improve content (Plausible CE).
  • Administrative communication with clients (active contract, scheduled audit, etc.).

4. Recipients and sub-processors

Your data may be processed through the following sub-processors, all within EU/EEA jurisdiction. The complete list, updated periodically, is available on the Cookies page.

5. International transfers

We do NOT transfer personal data to third countries (outside the EU/EEA). All our sub-processors operate on EU servers.

6. Retention period

  • Contact form data: 24 months from form submission, then automatic deletion.
  • Aggregate analytics data: indefinite (aggregated, does not identify individuals).
  • Active client data (portal Phase 2): for the duration of the contract + 5 years mandatory retention (Romanian accounting legislation).

7. Your rights

Under GDPR (Art. 15-22), you have the following rights:

  • Access to personal data (Art. 15)
  • Rectification of inaccurate data (Art. 16)
  • Erasure ("right to be forgotten", Art. 17)
  • Restriction of processing (Art. 18)
  • Data portability — JSON export (Art. 20)
  • Objection to processing based on legitimate interest (Art. 21)
  • Withdrawal of consent at any time (when processing is based on consent)

8. Automated decision-making

We do NOT perform profiling or automated decision-making (Art. 22 GDPR does not apply).

9. Data source

All personal data collected comes directly from you (contact form submission, site visit).

10. Complaint to supervisory authority

If you believe your rights are being violated, you have the right to lodge a complaint with the Romanian data protection supervisory authority ANSPDCP (Autoritatea Națională de Supraveghere a Prelucrării Datelor cu Caracter Personal) — official website: anspdcp.ro.

11. Policy changes

This document may be updated. The date of the last change appears in the footer. Significant changes will be announced via site notification or email.
